Plugging in your TFone Manager for the first time...
When you first receive your TFone Manager, follow these steps:
Plug an ethernet cable from your main router/switch into the right side ethernet port (closest to USB ports). See the diagram:
Check the TNZ Web Portal for your TFone Manager's Internal IP Address.
Type this IP Address into a web browser. You may wish to secure this IP Address as all VoIP equipment will point here. To set a Static IP, see Settings --> Network.
Check the TFone Numbers tab to ensure a TFone Number has been pre-configured with your TFone Manager. If there are no numbers configured, click Add a new TFone Number and enter the TFone Number settings provided by TNZ Group.
Click Inbound Rules, then edit the pre-comfigured Inbound Rule:
Rule Name is the display name for the Inbound Rule.
TFone Number is the actual TFone Number this rule relates to (i.e. when a call comes in for this TFone Number, follow this Rule).
Call Options is where you specify what the incoming call does.
Voicemail Settings only applies when "Take Voicemail" is chosen under Call Options
Business Hours defines what will happen outside of the specified hours. If "Take Voicemail" is chosen, it will use the settings from the previous Voicemail Settings tab.
See the Extensions tab and click Add a new Extension. Here you can set up your first VoIP device:
Extension Number is what you would like your internal extension number to be.
Extension Name is what you would like displayed to other extensions.
Caller ID Number is the TFone Number you would like to ring out of.
Max. Calls is the number of calls you would like to be able to receive at any one time.
Follow Me is the actual stepping process a call to your extension would take.
Voicemail Settings allows you to upload both busy and away Greetings and where Voicemail should be emailed to.
Security Settings states the Extensions password to be used when registering a VoIP device and logging into the TFone Manager web configuration as an Extension.
Your TFone Manager is now ready for action!
Finding your TFone Manager on the Internal Network
When a TFone Manager is powered up (whether after power loss or if using for the first time) it sends a packet of information to TNZ Group containing the Internal and External IP Address it has been assigned (through DHCP).
If you have just received a new TFone Manager, or have forgotten the IP Address of an existing TFone Manager, you need to reinitialize the TFone Manager so it sends a live packet to TNZ Group. Follow the steps below:
Remove the power cable from the back of the TFone Manager and wait 15 seconds.
Insert the power cable into the TFone Manager power outlet.
Login to the Web Portal on the left hand side of this page with your account Username and Password (for your account with TNZ Group, not your TFone Manager).
See My Service Settings --> TFone Manager. This will display an IP Address, e.g. 10.0.0.1 or 192.168.1.1
Insert this IP Address into a web browser, e.g. http://10.0.0.1
If this does not work, you can use the second Ethernet jack on the TFone Manager as an access loop:
Set your PC or Laptop's IP Address to 192.168.1.3 (follow the system instructions for your chosen Operating System).
Plug an Ethernet cable from the left side Ethernet port on the TFone Manager (next to the power cable) into your PC or Laptop's Ethernet jack.
Open a web browser and type http://192.168.1.1 into the Address Bar. This will pop up the TFone Manager login screen.
Log into your TFone Manager using the Admin account and visit Settings --> Network and set a Static IP Address that is readable from any PC on the network.
Your TFone Manager is now accessible at the Static IP Address!
Adding new TFone Numbers to your TFone Manager
When you order Additional Lines for an existing TFone Number, the changes will be made automatically - you don't need to do anything! When you order a brand new TFone Number, you will need to initialize this with your TFone Manager. Follow the steps below:
Have your new TFone Number Username and Password handy.
Log into the TFone Manager web interface (using the admin login).
See the TFone Numbers tab.
Click Add a new TFone Number.
Insert a Name for the TFone Number. This could be "Sales Number" or "Main Line".
See the Login Settings tab and insert the TFone Number's Username and Password.
Click Save!
Your TFone Number has now been registered with the TFone Manager. See the Inbound Rules tab to set up Call Routing for this number.
Adding new Extensions to your TFone Manager
When configuring a new Extension, you need to set up the extension on the TFone Manager web interface before a VoIP/SIP device can log in to the PBX. Follow the steps below:
Log into the TFone Manager web interface (using the admin login).
See the Extensions tab.
Click Add a new Extension.
Insert an Extension Name and Number, e.g. 101, MyName
Caller ID Number is the TFone Number you want to call out from.
Max. Calls is the number of simultaneous calls the Extension can receive at any one time. A value higher than one forfeits the ability to have a "busy" Voicemail (see Voicemail Settings).
See the Follow Me tab to set up Call Routing for the extension. E.g. if the VoIP Device doesn't answer after 20 seconds, forward the call to another extension, telephone number, or just take a Voicemail message. The "Return call to sender" entry applies only when a call has been transferred to the extension. The Routing will try calling the original transferrer back.
See the Voicemail Settings tab to upload personalised Voicemail Greetings. The "Away" Voicemail Greeting is played when the Follow Me routing is played through and there is no answer. The "Busy" Voicemail Greeting only applies when "Max. Calls" is set to '1' and the Extension is on the phone at the time of the call. Enter a personal email address into the box to receive a Voicemail message.
See the Security Settings tab to enable VoIP Devices to register to the Extension. This Username and Password will also be used for logging into the Extension Management section of the TFone Manager (at the main login screen, use these credentials).
Click Save!
Now that the Extension has been set up, you can now register the VoIP Device with the TFone Manager:
Install or Plug in your VoIP/SIP device as per manufacturer's specifications.
Use the device's management interface to find the SIP Settings area.
For Username insert the Extention Number.
For Password insert the Security Settings Password.
For Domain insert the IP Address of your TFone Manager, e.g. 10.0.0.1 If you have "Hot Desk" enabled, use your TFone Manager's domain name, e.g. tfone.mydomain.com.
Click Save! You may need to restart your device.
Recording Voicemail and IVR Greetings
An IVR Greeting is the welcome message played when your TFone Number is set up to route to IVR. This Greeting needs to be recorded and uploaded in a similar way to a normal Voicemail Message. Follow the steps below:
Use standard voice recording software to record your voice (you will need a microphone).
Record the message in WAV format (8-bit, 8000hz Mono). The file will be named something similar to "myrecording.wav".
Save the recording to your local computer.
Now you have a recording in the correct format, you need to upload it to the TFone Manager:
Log into the TFone Manager web interface (using the admin login).
See the page relating to your recording ("IVR" for a Welcome Greeting, "Inbound Rules", "Call Groups" or "Extensions" for Voicemail Greetings).
Find the entry you require and click Browse.
Find the recording on your local machine and upload the file.
Click Save!
Ensure you keep a backup of these recordings, as these are not saved by the Configuration Backup.
TNZ Group is testing a system where customers can call a local phone number and record a voice prompt. The prompt will then be sent to you via email. This feature is in beta and we hope to release it to our customers shortly.
Barring a Caller or setting up Automatic Routing
Occassionally you come across annoying or abusive callers that you would like to block, or there are calls that are always intended for a single staff member or group. You can set up these routes using Inbound Rules. Follow the steps below:
Log into the TFone Manager web interface (using the admin login).
See the Inbound Rules tab.
Click Add a new Inbound Rule.
Insert a Name for the Inbound Rule. This could be "Company XYZ" or "Annoying Caller".
Choose the TFone Number that is being called.
Insert the "Caller Telephone Number" exactly as it is displayed on your Caller ID.
Set the Priority level to the highest (0).
Next, see the Call Options tab and decide what the call should do. For annoying callers, you can Reject the call, or you can route the call directly to an extension, telephone number or Call Group.
